Leadership Transition Checklist

Last updated September 2026

Volunteer leadership changes constantly — often every year. The organizations that handle it well share a few habits, regardless of what tools they use.

Start the handoff before the last meeting, not at it

A real transition takes a few real conversations, not one rushed briefing on the way out the door. Start at least a month before the change, if your term structure allows it.

Write down what's in your head, not just what's in the files

The most valuable things an outgoing leader knows are rarely written anywhere: which vendor is reliable and which isn't, which board member needs to be asked twice, what almost went wrong last year. This is the material that gets lost most easily — and the hardest to reconstruct.

Hand over access, not just information

Bank access, vendor accounts, social media logins, domain and email administration — these are frequently forgotten until someone urgently needs them and the person who has them is gone. Make a real list and hand it over deliberately.

Introduce the incoming leader to the relationships, not just the role

A vendor, a landlord, a long-time member — these relationships are often personal, built over years. A short, direct introduction from the outgoing leader carries far more weight than a cold email from someone new.

Give the new leader room to ask "why" without it being a challenge

Incoming leaders often inherit practices nobody can quite explain the reason for anymore. Make it genuinely safe to ask "why do we do it this way?" — sometimes the honest answer is "we should probably stop."
