Event Readiness Checklist, Explained
Last updated September 2026
When you seed an event's default readiness checklist in OrgAlyne, here's exactly what you get — and why a few items are marked critical.
The default checklist
| Category | Item | Critical? |
|---|---|---|
| Venue | Venue booked | Yes |
| Venue | Venue contract signed | Yes |
| Budget | Budget approved | Yes |
| Insurance | Event insurance confirmed | Yes |
| Marketing | Marketing/promotion plan set | No |
| Ticketing | Registration/ticketing set up | No |
| Vendors | Key vendors confirmed | No |
| Staffing | Day-of staffing assigned | No |
| Security | Security/safety plan confirmed | No |
Why critical items matter more than the percentage
An event's readiness score can never show above 79% while any critical item is still unchecked — even if every other item is done. The idea is simple: an event with a beautiful marketing plan and no signed venue contract is not actually 90% ready, and the number should say so honestly.
You're not limited to the default nine
The default checklist is a starting point, not a fixed list. Add your own items — for your organization's specific events, that might mean a permit, a specific vendor deposit, or a board sign-off — and mark them critical if a genuinely unready event shouldn't hide behind a high score.
